Fellow committee members,
After reviewing several past Jibsheets and Mainsheets, I’m looking at our issues from a different perspective, I.e., from the subject matter presented in each Jibsheet and Mainsheet. Basically, the Jibsheet provides information on what is going to happen. The Mainsheet provides information on what did happen along with some other interesting articles. Both provide some overlapping subject matter.
I agree that the proper approach is to include the subject matter of each in one email. From the data so far, it appears that the opening rate of emails is greater than the opening rate of the pdf documents. In some very old email newsletters, there were hyperlinks taking the reader to our website for the pdf documents of the Jibsheet and Mainsheets. But I’m assuming that it would require the reader to log into the website which may be problematic for some. All this is leading me to believe that we should provide one periodic Corinthian Newsletter incorporating subject matter similar to that previously provided in past Jibsheets and Mainsheets all of which could be downloaded as a pdf should some prefer paper.
Now I know we have been toying over the numbers of who opens their emails or downloads the pdfs and the fact that some of our members prefer a paper copy of the Mainsheet mailed to them, but aren’t those issues beyond the scope of this committee. I should think that if a member really wants to read the Mainsheet, they will get a copy one way or another.

This is very good & interesting information regarding who we are actually reaching with the publications.
It appears a significant number of our members aren’t viewing the documents because they don’t take the second step to open the pdf.
It confirms your recommendation to have the Mainsheet & Jibsheet delivered within the email itself.
You & David are moving in the right direction with your new approach.

Hi all,
Based on Dick's analysis (thank you Dick, great information) of the number of emails opened and read, it seems that we should try to include the Mainsheet and probably Jibsheet in an email as well as a pdf.
Dick, in our discussion about the complexity of preparing the email versions in CX, I have been thinking through the options. It appears that we have briefly discussed three options to enable this:
- The first and most convenient for the Corinthians is to prepare the email version in ClubExpress as you did for your recent test. However, while this does keep everything within our current system, it is a fairly complex task, although it may get easier once a template exists. We should also recognize that we may nor be able to recruit members who have the aptitude or enthusiasm to carry this out in the future.
- A second option Joe tested was to take an email developed in Gmail, where inserting images seems to be allowed, and to send it to the membership using another delivery system. We mentioned MailChimp, but, Joe, I think you tested an alternative. This may simplify the preparation, but does mean we share our email list with a third party.
- I have been trying out a third option, but have not yet succeeded, but it should work. As an example, go to the web site and select Awards (top right) and then Awards - Annual Presentations. A window opens with three links, but I envisage that the contents list for Mainsheet could be about 10 headings - all links. If you click the first link, a PowerPoint presentation opens. Selecting a different year gives a different PowerPoint. I have been trying to take my Contents list from the Mainsheet and set it up as links to the articles. I have stored three articles in CX and linked them to the Content list in a CX email. It works halfway - clicking a link in the CX email downloads the file rather than opening it. The awards PowerPoint presentations open, so I must be doing something wrong. I was trying this option as it may be simpler to format the documents in PowerPoint or PDF rather than working with the CX approach.
I have a busy time coming up with ThanksGiving, but I wanted to share these thoughts before they all got forgotten.

Thank you for this research. I show correctly as wanting paper and I receive paper (thank you). Tina is not on the list and does receive paper, which is her wish. She pays to be a "couple second", a donation to Corinthians. I think your presentation is likely very representative, but if I understand correctly, it is not perfect. Please do not waste a lot of energy on the Tina exception, I only mean to share an observation.
In Memberclicks, there was a field for electing a paper Mainsheet. I see in her profile "Document Delivery Preferences > Invoice Delivery > Electronic. That does not address Mainsheet. I have not looked at the actual membership data structure. I don't know how the mailing list for printer is generated. Again, I am not sure these observations are worth a lot of energy.

The focus this meeting was to develop recommendations about whether to continue to send out printed copies of Mainsheet.

Background
For the Fall edition of Mainsheet, 136 copies were mailed. 43% specifically requested a printed copy and the others did not respond to the emails. The cost of printing and mailing those copies was about $1000. (I need to get the precise cost from Rich). The unit cost per copy is approximately $7.20. This service covered:
· Providing mailing envelopes
· Printing the Corinthian logo on each envelope
· Printing the 136 copies form a pdf file
· Stuffing the envelopes.
· Mailing the envelopes (mailing costs are at ?? mail as there are too few to qualify for Bulk Mail)
The Way Forward.
Based on a lengthy discussion, we agreed that we needed more information about the Corinthians who receive the printed copies. Specifically,
· Do they still want a printed copy?
· Do they have the facilities to print a color copy from the electronic version?
· Are that prepared to contribute towards the printing and mailing costs?
To help us better understand these issues, we agreed:

An update with a bit of help from Hank Recla’s agile brain cells
- Premises:
1. On 9 November 2025, the Corinthians Board and Afterguard approved the budget for 2026
2. This budget included the quarterly production, printing and mailing of the Mainsheet in 2026
3. John Butler presented a memo suggesting the Mainsheet and Jibsheet be consolidated into a single montly publication with elements of both.
4. A wide-ranging discussion ensued. The idea of eliminating the printed version of the Mainsheet to save ~$3K / year was suggested.
5. A motion carried to form a Working Group to investigate options and bring proposals to the Board Afterguard
6. The PWG met by Zoom as a result Dick Marsh undertook to produce an updated format Jibsheet with more eye-=appeal and greater information content to be disseminated by email.
7. Prototypes of the revised Jibsheet are currently being refined and will be used for the December Jibsheet.
- At todays meeting the PWG agreed that
1. The concept of a fee for a printed Mainsheet was, given the above premises, not to be pursued at this time due to its impact on the annual membership renewal process.
2. The next Jibsheet would be published as a test in the new format.
3. The next Mainsheet would be published as usual but with some update in content and presentation as feasible in its current format.
4. This process would allow the PWG to have the additional time to develop and finalize a plan for discussion with the Board & Afterguard at the next meeting.
5. The options of “print on demand” , reduced cost printing, separate fee for printed, copy etc. will be investigated.
6. A message will be sent to the Membership in a separate email, in the next Mainsheet, and on the CX website member landing page. Joe Rocchio agreed to draft a message for comment. - 7. Hank Recla and Joe Rocchio agreed to personally contact the ~65 Members who now receive a printed Mainsheet because they did not reply to David Shinkfield’’s query on print vs email distribution. The paper vs email issue would be discussed with them.
8. A discussion on John Butler’s suggestion to combine the Jibsheet and Mainsheet into one document led to the decision to continue the current Mainsheet and Jibsheet publication schedule while testing improved formats for next issues and then assess Member evaluations. This would inform PWG recommendations to Board & Afterguard.

Please Take Note: Publications Update
The Corinthians Association relies on two publications to keep Membership informed and involved: Mainsheet (quarterly) and Jibsheet (monthly).
For many Members these are their primary ties to the Corinthians.
Time brings changes in demographics, technology, common practice and we need to adjust.
At the direction of the Board and Afterguard, a Publications Working Group is engaged in a reevaluation and potentially in a redesign of these publications.
Goals:
· Drive down costs to membership fees
· Increase attractiveness, readability, information content, ease of use, and accessibility.
So?
· The next issues of Jibsheet and Mainsheet will begin to present updated formats to meet these goals.
· Member comments are solicited.
Printing is the major cost driver of publications to serve the relatively few Members who request printed copies of Mainsheet. So if you see a printed (vs electronic media) copy Mainsheet as essential to your membership please let us know.

Emma clarified in a private email exchange "It [CE] does not put the image and the words in the same cell" as implied by "embedded".

Content is created in Word and saved as pdf. In the email there is a link to the pdf posted on website.
Then the text and images are cut and pasted into the little boxes "elements" in CE as you show in separate screen shot. That is a tedious process. Redeeming feature is most content carries over from month to month.
Although the link to the website pdf currently goes to last month's pdf, the pdf may be more suitable for phone users than the email version.

I think a single column format works best on mobile devices. It is easier to just scroll rather than move side to side. On the other hand, two-column format looks better when printed. How many of our members are likely to print it?

I like the concept, I agree with John. I like having the photos. Especially of the dyer I skippered in the Frostbite! It is just a bit of surfing to follow what goes with what. I know y’all realized a bunch of events are dated already, but would be nice to mention a couple fun facts and photos for those. I believe having the events ordered by date with the fleet area noted in the parentheses.

I like being able to open and read it in my email (phone or computer). I think this will be a good change.
Here are a couple of things I didn't like:
There is a lot of white space when scrolling down on my phone and the text is not the full width of the screen due to the photos. See attached screenshot. Can the photos be embedded in the text?
On the computer, the alternating side-by-side photos and text was not easy for me to scan down, looking for an article or event of interest. My eyes had to jump back and forth. Can the photos always be on the right side?

Grouping events by association and then fleets require me to scroll quite a bit to see the upcoming Mystic Fleet event on 12/9. Perhaps a combined list like it is on the website would be better.

Please find BELOW the email version of the Jibsheet. You can only use a mail service like Club Express (or MailChimp...) with an html email. You cannot copy and paste a Word or pdf into an html editor without losing the links and/or images and/or formatting. The flyers in the email were copied by screenshots, less than ideal. HTML editors are less than ideal for appearance. A certain portion of our members are afraid to open an attachment (scam issues). Sending the Jibsheet as an email is consistent with our peer associations. Both for archival purposes and those who like to print and read, we will still prepare a pdf and post on website. There will be a link for pdf in the email. The email version of Jibsheet is an experiment. How do you like it?

As to including Jibsheet material in Mainsheet, I agree there should be only product a month, but the Jibsheet with flyers runs ~12 pages already. We can talk!

Hi Dick,
I am now working on preparing the content for the winter copy of the joint JibSheet/Mainsheet. To enable Jainita to prepare the copy, she will need the content for each section in Word format with photos and their captions separately. The content that I am working on is as follows.
- For the Corinthian Wide articles,
- I have prepared a write up of the Annual Meeting and included a photo of the Board and Afterguard.
- I am now working on the Awards and plan to show photos of each awardee with a description of the award itself. I plan to follow a similar layout to the one we used in the Winter 2024 copy. If anyone wants a copy, I can send you one.
- Fleet News
- Chesapeake Bay.
- I have chased up Janice and Kathleen to get the write up about the Fall Cruise.
- I also plan to attend the Holiday Party in December, so I will prepare an article on that.
- Mystic
- I need to decide whether to add a short article about Bill's presentation about his Lake Champlain cruise. We need to avoid duplication.
- Nothing from LIS or NE yet.
- Master's Message
- I will remind Rick in mid December asking for his Master's Message.

- I am updating the list of Directors and Afterguard members using Mary's minutes from the Annual Meeting
- New Members.
- Mike and I will work together to get a list of the new members joining during the last quarter of 2025. I think it was a great suggestion to add new members' photos in the New member section, and I will work with Mike to make that happen.
- I would welcome everyones thoughts on whether we include both the bios of New Members as well as the 12 month history.
- Notes from the Corinthian Board.
- Mary writes articles for this section when there is an important issue to present to the membership. Depending on our recommendations after our Monday meeting, I think the future of Corinthian Publications may be a good subject.
That leaves us with the section I used to call Next Issue and Beyond. My original plan was that the content for JibSheet would replace this section. Is this correct or do you have an alternative approach in mind?
This is what I am working on for the end December edition of the combined JibSheet/Mainsheet. Any changes, additions and comments welcome.

Thanks to Dick Marsh for developing a neat new more attractive and informative Jibsheet format.
Yesterday between medial visits and traveling to VT and coming down wiht the flu, I was able to develop this prototype mailing list.
Jibsheet - Dick Marsh
- He revised the Jibsheet format
- Added photos and text to make more informative and attractive to readers
- He then created the new publication by making png images of the layout and then inserting these images sequentially into the body of an email
- New Jibsheet email was sent from Dick Marsh's email account to the TCAmail mailing list
- The test was successful and a good looking informative publication resulted
Mailing List
- I found the the hosting service account I use for publishing several websites included in the services provided a mailing list management tool
- This is the same hosting service used by corinthianscruise.org website
- I set up a new domain to run tests of the mailing list tool: thecorinthians.info [https://thecorinthians.info/
- I set up a test email list that includes members of the Publications Working Group
- Dick Marsh, as a member the mailing list was able to send emails to the mailing list members
- The test mailing list can be used by putting in the To field: tcamail@thecorinthians.info
Summary:
- A process has been established that readily enabled a revised Jibsheet publcation to be created and then distributed in the body of an email to Members on a mailing list.
- Further efforts are needed to
- 1. Streamline the process and simplify as much as possible
- 2. Investigate document production techniques that will provide good reading experience across devices: phones, tablets, desktops / laptops
- This will likely require moving away from use of png.
- 3. Provide for Members to be able to click a link to download a pdf document to their device
- An archiving system should be set up so Members can readily access published editions and view or download current or past issues
- Configuration and control issues need to be identified and appropriate processes put in place
Future:
- Expand to Mainsheet
- Consider a new publication to provide annual summary of the organization's people and events
Note:
- There are many paths that could be followed to achieve this goal
- This is just one - but it is effective, low cost, and low overhead.

This looks more attractive than my effort, but placing the photos alongside the text means that on a small screen, the print is very small.
While we may not want to get all the Mainsheet content easily readable on a phone, I suspect that having the list of events - Jibsheet content - easily readable on a phone would be useful.

Mailing List- I found the the hosting service account I use for publishing several websites included in the services provided a mailing list management tool
- This is the same hosting service used by corinthianscruise.org website
- I set up a new domain to run tests of the mailing list tool: thecorinthians.info [https://thecorinthians.info/
- I set up a test email list that includes members of the Publications Working Group
- Dick Marsh, as a member the mailing list was able to send emails to the mailing list members
Summary:- A process has been established that readily enabled a revised Jibsheet publication to be created and then distributed in the body of an email to Members on a mailing list.
- Further efforts are needed to
- o streamline the process and simplify as much as possible
- investigate document production techniques that will provide good reading experience across devices: phones, tablets, desktops / laptops
- provide for Members to click a link to download a pdf document to their device
- An archiving system should be set up so Members can readily access published editions and view or download current or past issues
- Configuration and control issues need to be identified and appropriate processes put in place
Future:- Expand to Mainsheet
- Consider a new publication to provide annual summary of the organization's people and events
Note:- There are many paths that could be followed to achieve this goal
- This is just one - but it is effective, low cost, and low overhead.

I am doing a draft Jibsheet that is similar, without the links to longer articles; the links may be a model for Mainsheet if we were to drop the printed copy format. Giving up the printed copy format would cause us to lose the archival value of Mainsheet.

Many thanks for joining our Zoom discussion this afternoon. We had a wide ranging discussion, but with few tangible decisions. However, it was essential to better understand everyone's ideas and suggestions. Here are my key takeaways from the meeting.
- We need to reach as wide a number of Corinthians as possible. Current experience shows that a significant number of Corinthians do not read JibSheet to Mainsheet or access our website.
- We need to encourage members to prepare articles on more general sailing topics as well as event write ups. Fleets should nominate members to handle communications and contribute material.
- Hank suggested that the LSC approach may be a useful model - a regular emailed newsletter which includes a link to their more formal magazine, The Little Ship.
- There was a long discussion about preparing an email newsletter on ClubExpress. CX does not seem to be user friendly for this and alternatives may be necessary. Joe referred to MailChimp as a possibility, which offers free distribution of 500 copies, limited to 1000 copies per month. (I used Mailchimp for many years in my previous volunteer job.)
- There seemed to be a sense that the Mainsheet was a more professional newsletter than newsletters for other sailing groups.
- Including photographs of people, parties and gatherings in our publications seems to encourage interest.
We reached a couple of decisions.
- The Winter edition of Mainsheet, typically issued in early January will include the normal articles, and will also incorporate the JibSheet content. The document should be distributed in both PDF and email format. This should allow the documents to be read on large screens and phones. Dick and David will work together to make this happen.
- We agreed to have another Zoom meeting - hopefully shorter - to address the issue of mail or electronic delivery. Issues.
- Should we cancel all mailing of publications: should we charge a nominal amount to those asking for printed copies: how will we advise the membership of the change: are we concerned that some members may resign if we cancel mail delivery.
- For information, printing currently costs $4000 per year - $7.50 per copy per member.
- This meeting should enable us to present a recommendation to the Afterguard on 11th December.
Suggested times for our next Zoom meeting are 4:00pm on Monday or Tuesday, 24 or 25th November (before ThanksGiving) or same time Monday or Tuesday, 1st or 2nd December.
Please advise Peter and me with your availability.

Dick also pointed out that the "sweet spot" for Corinthians membership begins at about Age 50 when potential members have become more mature, settled in life, have the time and resources to devote to sailing and cruising.

As an out come of the Board & Afterguard Meeting on 9 November and its decision to develop options for consideration of a new / revised set of publications, I began working on a collaboration tool.
The goal is to bing together all the relevant information in one place where this group can share ideas and comments. Additional elements will be added as the group progresses.
I have shared the early drafts with John Butler and with David Shrinkfield.
It is NOT intended to supplant Zoom meetings of the group but to support them and enable members to develop ideas to be shared.

There are some additional details to sort out. I used the Upcoming Events from Dick's JibSheet, but I did not manage to get the links to all the upcoming events. The links go to CX, but navigating the page to get the flyer and registration details needs work.

We have some great articles.
- The Corinthians Annual Cruise took place in Maine during August. Joe Rocchio has described all the key events creating a great memory for all participants. If you did not join the Cruise this year, perhaps this will encourage you to join next year!
- Bob Osborn and his yacht Pandora is always off on long voyages. This year, he was attacked by orcas off Gibraltar. Read his article about the attack, the fear of Pandora sinking and the damage to his rudder. Bob, we are glad you reached Spain safely.
- This year, Master John Butler recreated the Fleet Challenge, held on J22s in Annapolis. The Mystic Fleet took line honors, so congratulations to Ted Corning, Jessica Woods, Harry Staley and Joyce Bolton.
- We have four new members this quarter. For each new member, we have listed the Sponsor. These Sponsors identify potential new members and persuade them that joining the Corinthians is a great opportunity, identifies the two endorsers and hopefully continues to encourage each new member to take full advantage of Corinthian membership. The draft Tool is just that — a tool to facilitate our activities.
As we both agreed, laying out some draft ideas to “prime the pump” helps move an endeavor like this along. So the strawmen publications I put up initially are just one cut at addressing the issues John Butler raised in his memo to the Board $ Afterguard while also attempting to address the comments many Members passed on to me at the Annual Meeting.
I will make that clear in an update this morning.

Hi all,
At their meeting last Sunday, The Board and Afterguard considered a proposal by John Butler to change JibSheet and Mainsheet content, frequency and distribution. In their subsequent discussion, they agreed to set up a sub committee to consider the issues. A copy of John Butler's proposal is attached (butler.docx).
Peter Clerkin, Communications Chair, asked that I chair this sub committee and I agreed. Current members are Peter, Hank, Joe and me. Thank you for volunteering your time on this task. I have left a message for Dick Marsh on whether he wants to join us, but have not had a reply. I also propose to send Emma copies of our minutes for her information.
I propose that we have our meetings on Zoom. Here are some possible dates, please let me know which dates work for you. 17th, 18th, 24th or 25th November. Afternoon is preferred. If none of these dates work, we have many more options after December 1st.
My suggested agenda issue for our first meeting.
What is the overall scope and objectives of our group?
When will we meet again to discuss the details?
In addressing this objective, we should consider:
- What is the purpose of our publications?
- Do Jibsheet and Mainsheet currently serve this purpose?
- Is combining JibSheet and Mainsheet into one document a good idea? And what is driving this?
- Do we need one document or two?
- Is there an alternative approach, perhaps using email flyers and the web site?
- Should documents be produced monthly or quarterly?
- How much work would this involve and who will do it?
- Will our current Layout Editor be prepared to do this monthly?
- Decision on print copies or electronic only.
- Making documents "phone friendly".

Some Background on Mainsheet
For the Fall edition of Mainsheet, I sent out 456 emails to All Active Members, with 20 not going through due to Invalid Address, Bad Format and Not Allowed. So far, 24 hours later, 291 (64%) have been opened.
For the printed edition, the mailing list includes 138 Corinthians and 2 copies to the LSC. However, I do not think that anyone reads the LSC copies. Barrie Martin(LSC Commodore) was not aware that we sent them two copies each quarter. Of the 138 Corinthians, about half requested printed copies and the remainder did not respond to the survey. As approximately 50% did not respond to the survey, I assumed that they did not read their emails so a printed copy to them seemed sensible. I don't have the exact numbers but this is approximately correct.
If there are 70 members who do not read their emails, and we don't send a printed copy of something, I would be concerned that they may not continue their membership.
To me, the big difference between Jibsheet and Mainsheet is that Jibsheet covers upcoming activities and events, while Mainsheet covers descriptions of completed events. The article on the Annual Cruise in the Fall edition was 2200 words plus pictures and Bob Osborne's article on the Orcas was 1400 words long. Getting that material from the kind Corinthians who prepared them took 6 to 8 weeks. I was hoping to include a write up on the CB Fall Cruise, but no one had drafted anything. So eventually, we agreed to include the write up in the Winter edition. Incidentally. I still don't have anything!
There are some sections currently included in Mainsheet which can easily be combined with JibSheet - Master's Message, Officers; Elected and Appointed Positions, Next Issue and Beyond and New Members. This content is easily available each month.
From my perspective, one big advantage for the existing format of Mainsheet is that it provides the history of the Association. I suspect that Bill Thomas - Historian - would have a view on this.
There are other options when advising Corinthians about upcoming events, and that includes the emails sent out by Fleet Captains or Activity Chairs. A very recent example is Kathleen's email sent out about the SERC Speaker Event. Provides full details, a flyer and contact information. If we are going all electronic, another option is to refer members to the web site, where there is full information about every event. We may consider updating the Event pages to simplify finding the flyer and registering.
